How to write a commercial insurance submission email to a carrier

The submission email is often treated as an afterthought — something to dash off when the ACORD forms are ready. But underwriters read dozens of emails a day, and the way you frame your submission in the email itself affects how quickly it gets reviewed and how seriously it gets taken.

Here is how to write a submission email that gets your file quoted faster and positions you as a professional the underwriter wants to work with.

The subject line

The subject line should tell the underwriter everything they need to know before opening the email. A good format:

NEW SUBMISSION | [Insured Name] | [Lines of Coverage] | Effective [Date]

Examples:

  • NEW SUBMISSION | Apex Roofing LLC | GL + WC | Effective 08/01/2026
  • NEW SUBMISSION | Harbor Restaurant Group | BOP + Liquor Liability | Effective 09/15/2026

Avoid vague subject lines like "New business" or "Please quote." They don't help the underwriter prioritize and they don't help you find the email later when you're following up.

The email body

Keep the body brief. The underwriting summary in the attachment tells the full story — the email body is just a clean handoff. Three short sections is all you need:

1. One-sentence introduction

Who the insured is and what you're submitting. Example:

"Please find attached a new submission for Apex Roofing LLC, a commercial roofing contractor based in Phoenix, AZ — requesting GL and Workers Comp effective August 1, 2026."

2. Key highlights (3–5 bullet points)

The things the underwriter most needs to know up front — not a full narrative (that's in the underwriting summary), just the highlights:

  • Revenue: $3.8M annual, commercial projects only
  • Operations: Commercial flat roofing and TPO systems; no steep slope residential work
  • Subcontractors: 15% of revenue; certificates collected
  • Loss history: One $18K GL claim in 2022, closed; otherwise loss-free for 5 years
  • Reason for shopping: Current carrier exiting the market in AZ

3. What you need and by when

Be explicit about the deadline and what you're asking for:

"The client has a firm effective date of August 1st — I'd appreciate a quote by July 18th if possible. Please let me know if you need anything additional."

Attachments — what to include and how to name them

Include the full submission package as separate attachments, clearly named:

  • ApexRoofing_UnderwritingSummary.pdf
  • ApexRoofing_ACORD125.pdf
  • ApexRoofing_ACORD126_GL.pdf
  • ApexRoofing_ACORD130_WC.pdf
  • ApexRoofing_LossRuns_5yr.pdf

Named attachments are faster for underwriters to review and easier for you to reference when following up. "Attachment 1" tells no one anything.

Follow-up timing

Follow up within 48 hours if you haven't received an acknowledgment. A short email is all you need:

"Just following up on the Apex Roofing submission I sent Monday — wanted to confirm you received it and let me know if you need anything additional."

Then follow up every 2–3 business days until you have a quote or a decline. Be persistent but professional. A submission that gets lost in an inbox is not a decline — it is just lost.

What not to do

  • Don't send a submission with no body text — just attachments and "Please quote" tells the underwriter nothing and suggests you didn't review the file.
  • Don't call asking for a quote the same day you submitted — give it at least 48 hours before following up.
  • Don't submit to multiple underwriters at the same carrier — pick one contact and work through them.
  • Don't send unsigned applications — if the carrier requires a signature, get it before sending.
